DCA completes largest document conversion project in its history

The DCA team took customer service to new heights by converting 8 million secure documents to searchable electronic files in less than six months -- and under budget, too!

The project was under the direction of one of DCA's long-time customers, Pfizer, Inc. The project was mission-critical to the drug-maker, who had just completed the acquisition of Wyeth Corporation and was seeking a rapid transition of that company's patent, trademark and litigation documents. 

 

"The scope and speed of this operation was simply amazing," said Carmen Lantigua, Pfizer Director - IP Global Services. "We went from bidding the project to start-up in just four weeks. DCA completed the initiative on-time and under budget despite several roadblocks we threw at them along the way!"

The project was also significant because the entire document conversion took place on-site at the customer location.

Our goal with every project is to address the business needs of our customers using a creative balance of technology and our experienced team of imaging professionals" stated Thomas Tripodi, DCA's VP of Business Development. "With this project, Michael Coombs, the DCA Account Manager for the Pfizer Account, developed an end to end solution that leveraged similar technology to the existing Pfizer production environments that DCA implemented in 2004. Leveraging DCA staff and equipment, we were able to create a high volume onsite production conversion platform.  This solution eliminated the need for any of Pfizer’s documents to be moved from their existing file room.  In addition, Pfizer’s data never left their network during the entire conversion, assuring the highest level of data security”. 

“A key requirement of this initiative was having indexed document images available for use by the Intellectual Property organization within a couple of days of scanning. Additionally, any documents that were not scanned and required priority handling, were routed to an express queue to expedite the release of them through their Content Management Software” adds Thomas Tripodi

Technology used to manage the 8 million documents included multiple high-speed Kodak I-700 series scanners and both Kofax and EMC Documentum document management software.

Creating business value by automating paper based processes

We recently read an excellent white paper by Sean Baird of EMC and thought we would present to you some of the highlights of this exceptional report.

Although document capture is being used in many organizations to improve business processes, the ability to maximize this value is impeded by two significant challenges:

Too many document types. While many document capture applications focus exclusively on capturing just a few document types, the challenges faced by most organizations require that they capture dozens — if not hundreds — of document types.

Distributed organizations. Documents received at distributed locations are frequently delivered to central mailrooms before they are processed, adding shipping costs and slowing down business processes.

Paper still consumes unnecessary handling time, drives up operational costs, and creates issues for compliance and regulatory obligations.

 An example of how document capture can significantly improve a business process is invoice approval and payment.  Many accounts payable departments rely upon clerks to enter invoice data into the accounting system. However, organizations are increasingly using advanced capture systems to eliminate nearly all manual data entry, improve data accuracy, free valuable accounting resources, and dramatically speed up invoice processing. AP departments often find that they can reduce the time to process invoices from several weeks down to a few days or less.

 Intelligent Enterprise capture extends the value even further:

  • By providing the ability to capture from remote offices using desktop scanners or MFPs, organizations can immediately capture invoices wherever they are received, eliminating shipping time and costs.
  • Through its ability to automatically identify invoices from different vendors and to intelligently extract invoice data — even invoices from new vendors — AP clerks are able to focus on higher value tasks.
  • By providing a consistent method for capturing invoices, organizations make more predictable decisions, understand why decisions were made, and are able to quickly respond to audits.
  • Leveraging intelligent document recognition to efficiently extract data not only from high‐volume structured forms but also from a wide range of less‐structured or completely unstructured documents.

 A recent AIIM study shows that organizations are increasingly capturing documents in‐house, at least in part because automated data extraction outperforms outsourced data entry.

 Organizations that can effectively automate data extraction are able to offer faster, more competitive services, while lowering the costs that limit profits and business agility.

Kodak Announces Agreement to Acquire Scanner Division of BÖWE BELL+HOWELL
