Extend Back Office Business Systems to the Front Office with KFS

Kofax Front Office Server (KFS) extends the functionality of Kofax Capture and KTM by enabling front office and remote users to capture documents at their points of origin for input into a business process or workflow. The system leverages existing infrastructure, such as MFPs and desktop scanners to extract data from documents in a quick, efficient and more cost effective manner. Users can initiate processing of emailed, faxed, or paper documents from a MFP panel with the same administrative control options as documents sent to a business process. This system allows organizations to maximize the efficiency of document driven operations, speed processing times, reduce costs and enhance customer service. 

The centralized Kofax Administration Console is a thin client application included with Kofax Front Office Server that gives Kofax Capture administrators the ability to check the status of input devices, set up users, and control user privileges. Administrators can create personalized interfaces and workflows based on the specific activities of each user, as well as enable enhanced features such as database look-ups and drop-down lists to improve speed and accuracy. 

The easy to use interface allows users to interact with documents with no training required. Users can scan and process documents via the scanner interface, or by using the Front Office Web Client. The web client is a browser-based application that supports scanning, image editing and document indexing right from your PC.

For advanced document processing options, Kofax Front Office Server is tightly integrated with Kofax Capture. Kofax Capture provides data extraction options like OCR, ICR, OMR and includes the ability to read barcodes and convert documents to PDF format.  Kofax Capture offers release connectors for over one-hundred ECM platforms, workflow systems, and line of business applications.

Increase Scanning Productivity and Capture Efficiency with VRS Elite

There is no question that document scanning can greatly benefit an organization, but those who have experience with the technology know that image quality issues can impede the results of your scanning operation. 

Kofax Virtual ReScan (VRS) helps take the pain out of scanning by reducing the time spent manually preparing documents and by automatically enhancing the quality of scanned images.  VRS eliminates the need to customize scanner settings for specific document types and produces a perfect image the first time, every time.  Features such as automatic page orientation, blank page detection, color detection and smoothing help reduce the time spent manually preparing documents, allowing for more efficient scanning and processing. By delivering cleaner images, VRS increases the accuracy of optical character recognition (OCR) and handwriting recognition (ICR) software. Capture documents, capture criminals?

Miami, Boston, Chicago, Los Angeles, New York and Dallas are all major cities dealing with similar issues. One of those issues is crime. Recently DCA was involved in a massive project to help a major metropolitan police department handle the issue of crime in a more efficient and productive manner.

To begin, Michael Coombs, DCA’s project manager of Kofax Capture applications, met with the police department for an evaluation of their current system. It was evident that the system for creating and tracking criminal cases was a mess of faxes, emails, and messenger services moving paper documents from one place to another. In a department of over 200 precincts, this process was cumbersome and would not allow for the transfer of knowledge easily.

Upon first meeting, the client had major reservations about DCA’s ability to develop a successful document management solution, as other top providers had tried and failed. In fact, after presenting DCA with the security policies, politics, and the infrastructure challenges, the attitude of the client was "Good luck, it won’t work."  "This was definitely one of our more challenging projects." Michael Coombs noted.

DCA developed a document capture system that utilizes Fujitsu fi6000NS network scanners feeding a Kofax Capture system. These scanners allowed each unit to scan all relevant documents pertaining to new and existing cases without the need of any additional hardware. The documents are received and processed through a central Kofax server which extracts data then releases the documents, making case files available for use anywhere on the network within minutes.

Scott Bonadonna, lead tech from DCA added, "This is an enormous upgrade for the officers. Think about what they had to do before this system was put in place. It was impossible for supervisors and co-workers to view or have access to everything needed to work on these cases." 

Not only did DCA make it work, but their rapid success with Kofax capture and Fujitsu has paved the way for even more projects from the metropolitan police department.  There are additional opportunities to extend the Kofax document capture system to new areas and new forms, as well as other ways to automate information from the 200 to 300 new cases coming in each day.

This system has transformed a process that would have typically taken days or even weeks and reduced it to a matter of minutes. It has eliminated the need to manually move paper documents and evidence from one site to another, and enabled this metropolitan police department to link crimes, detect patterns, and capture criminals more effectively. Kofax Capture and Automating your Business Processes

The hospital estimates a 30 percent cost savings per invoice.

Insurance company

Kofax technology helped a Japanese insurance company improve its tedious workflow involving the manual review of forms at numerous levels, manual data entry and lengthy company distribution process. A new process was implemented using Kofax Intelligent Capture & Exchange to scan, recognize, validate, verify and release the documents throughout the company. And, because the solution included Kofax Virtual ReScan, the quality of the documents was ensured throughout the process.

Thanks to this solution, the insurance company decreased the amount of time it takes from document origination to accessibility on the system from five days to two or three days. This solution has also freed up worker tasks, allowing them to focus on other duties.
